The following Open Order Item Details report will display products removed from inventory, but not yet Invoiced.  This report is designed to give you immediate information about products in your facility that are ready to deliver.  Each column can be sorted and specific selection criteria is available by Category, Item, Product Code and/or Product Description.

You can locate this report at the bottom of the SALES Menu and also on the REPORTS Menu under Sales.

John’s Journal, Issue #34 – Credit Card Processing

John’s Journal is a newsletter to provide SMARTSystem™ Users with the latest software highlights and solutions to improve your business operations.

Credit Card processing is now available in the SMARTSystem and is ready for your use.  It has been designed with minimal changes to the POS entry module and all of the processing is behind the scenes with instant Authenticate or Authenticate-Capture options available using Authorize. NET.   

Credit Card information is stored in the Customer table with heavy encryption of credit card numbers for your protection.  Password security is required to access credit card information in the Customer Table by your staff.

New credit cards can be entered at the point of sale on the screen below and the information will automatically be saved in the Customer Table for future use.

John’s Journal, Issue #32 – Customer Sales History Report Improvements

This week I am highlighting the improvements made to the Customer Sales History report for you to better utilize this report internally and with your customers.

The Average Landed Cost has been added to this report and the checkbox to “Hide Landed Cost” will hide both the Current Landed Cost and the Average Landed Cost columns.

When selling “Assorted” inventory items the Sales Comments is often used to identify color or variety.  You can now show the sales comments under each inventory item when you check the box “Show Comments on Report.”

John’s Journal, Issue #31 – Revised Pre-book Sales Summary Color Coding

John’s Journal is a newsletter to provide SMARTSystem™ Users with the latest software highlights and solutions to improve business operations.

In the latest version of the SMARTSystem, the color coding on the Pre-book Sales Summary screen has been revised to provide the sales staff with an immediate inventory status of items on a Pre-book order. See the following example with explanations:

          

  • Black background and White letters indicates

Product has been allocated to a Purchase Order but there is not enough On-Hand to fulfill this item.

  • Black background and Orange letters indicates

Product is NOT allocated to a Purchase Order and there is not enough On-Hand to fulfill this item.

  • Gray background and Red letters indicates

There is sufficient product in inventory to fulfill this item from current inventory.  This product can be converted to a Sales Order or Invoiced.

  • Green background and White letters indicates

Product has been allocated to a Purchase Order that has been received. This product can be converted to a Sales Order or Invoiced.

John’s Journal, Issue #30 – Turn Contract Pricing On or Off

John’s Journal is a newsletter to provide SMARTSystem™ Users with the latest software highlights and solutions to improve your operations.

Contract Pricing has been enhanced to automatically override prices on all of the Sales Order screens based on your contract price settings. A separate Contract Pricing tab is still available for you to view items and sell from that screen.  

In order to provide more flexibility for you during the holidays we have created a new option to turn all Customer Contract Pricing Off or On as needed.  This feature will address those that do not honor Contract Pricing during the holidays.  This program option is located on the Management Menu towards the bottom.

When you select this program from the menu it will display the following screen:
    

To turn Contract Pricing Off, just click the button to “Turn OFF”. When in the Off status the Sales Program will not be able to override your customer sales order with the prices you have contracted with the customer.  See the screen below:


To turn Contract Pricing On, just click the button to “Turn ON” and all contract prices will return to active status.

John’s Journal, Issue #29 – Customer Memos

John’s Journal is a newsletter to provide SMARTSystem™ Users with the latest software highlights and solutions to improve your operations.

Customer Memos are used to communicate between the Accounting Department and Sales Staff with the option of providing an ALERT.

A User can enter “Customer Memos” when doing Customer Maintenance or Sales for a customer.  When the ALERT option is set the “Customer Memos” button will be highlighted in red as illustrated below:

Clicking the Customer Memo button will open a notepad to read and/or enter information. You can turn the “Customer Memos” button red by clicking the “Set Alert” checkbox in the upper right-hand corner.


The Salesperson can view the information, respond to it and/or turn off the ALERT which will return the button to its normal color.

Farm codes identify the Vendors farm for products listed on the Sales Order Entry Selective Ordering screen.  Changes to the Farm code when it is in use can cause unpredictable results.  Therefore, the Farm Maintenance program has been revised to make sure the code you change or delete is not actively being used. You can still ADD new Farm Codes at any time.

John’s Journal, Issue #17 – Sales Confirmation and Pre-Book Quote

A new feature being released this week is the Sales Order Confirmation and the Pre-Book Quote. New buttons on the lower right portion of the Customer Information screen give you the ability to “Print Confirmation” and also “Email Confirmation” to the customer.  A sample of the Confirmation is below.


This is a powerful new feature to confirm customer orders or email a quote to your customers.  I welcome your feedback so please let me know how you like this feature.

John’s Journal, Issue #13 – Sales Summary Screen Improvements

John’s Journal is a newsletter to provide SMARTSystem™ Users with the latest software highlights and solutions to improve business operations.

The Sales Summary Screen has been revised with enhancements that allow improved flexibility with additional fields displayed.  The products listed on this screen are in the order of your selection.


Here are a few of the enhanced features for you:

  • New fields added to the Summary Screen are:  Pack, Total Units, and the Box Id# when you move the scroll bar to the right.
  • Any of the columns can be sorted in ascending or descending sequence by clicking the column heading.  In the example below, the Product Description was sorted in ascending/alphabetical sequence

  • You can move the columns to re-arrange the order of information. Just left click your mouse on the column you want to move and drag it to the location you want. In the example below, the Product Code was moved to the end of the list so that the Product Description would be the first column to view:

This week, we have improved SMARTSite features for iPad and iPhone users that will custom fit the screen display to these specific devices. Using this technology will provide your mobile internet customers with improved convenience when entering their orders. Our goal is to make it easier for you to sell and easier for your customers to buy from you.

A helpful tool to monitor your sales margins is the Sales Summary Inquiry.  The Sales Summary Inquiry was developed for Sales Managers to easily review sales orders.  Using the Sales View, select the sales order that you want to review and right click for the drop down menu to select Sales Summary Inquiry. See an example below of the Sales View and Sales Summary Inquiry:
